Minutes from Glenwood PTO Meeting

April 10, 2007

PTO Vice-President Jessica Bivens welcomed everyone and called the meeting to order at 6:35 pm. Members in attendance were Jessica Bivens, Rebecca Fahey, Pam Wyatt, Kasi Ross, Amelia Bell, Cheryl Guthrie, Mary Yaun, Sharon Dowdy, Pearl Goins, Nan Shugart and Vickie Quick.

 

Principals report

Mrs. Goins Reported:

  • We are in a "wait and see" mode as far as how the budget discussions are going. The finalized budget will give us information as far as staffing.
  • Today is the second day of TCAP's, and attendance was at 100% for the first time this year. The children seem to be doing well so far.
  • We are on track and everything will be down hill from now until the end of the year.

 

Minutes

March's minutes were available for review & discussion. Motion by Mary Yaun that the minutes be accepted; seconded by Sharon Dowdy. Motion passed unanimously.

 

Treasurers Report

The Treasurer's Report was available for review & discussion. Rebecca Fahey reported there were really no updates to the budget. As approved at the last meeting, $9,300 will be spent on whiteboards for the classrooms. (NOTE: Ms. Ridener does need a whiteboard, so one will be purchased for her). Even with this large expenditure, the PTO should be in good shape with approximately $9,000 to start the '07 school year. Kasi Ross made a motion that the report be accepted; seconded by Sharon Dowdy. Motion passed unanimously.

Committee Reports

Cubs On Track

  • Jessica Bivens reported that the kick-off assembly would be held on April 13th. The event will take place on April 26th. Jessica requested that the PTO approve adding $254 to the budget to cover ribbons for Field Day (1st, 2nd and 3rd place) as the remaining number needed for this year's Cubs on Track. An order has been placed that will take care of this year's needs as well as for 2008-2009 and part of 2009-2010. Mary Yaun made a motion that this request be approved; seconded by Kasi Ross. Prizes for this year's event will be for the top ten brining in the most donations. Each child will get to choose their prize (ride to school in a fire truck / ride to school in a police car / be a Glenwood Staff person for a day). Every child who participates in the activities will receive a ribbon, and anyone who brings in money will receive a coupon for a free kid's meal at Wendy's. Jessica did ask Nan Shugart to see about getting 50 &endash; 100 more Wendy's cups for Cubs on Track and Field Day. Nan reported that she just picked up 4 cases of cups but that she can get more for these events as well as the Spring Picnic if needed.

 

Book Fair:

  • Kasi Ross reported on this year's Spring Book Fair, which will be late this year. It will coincide with the Spring Picnic. The theme will be "Book Fair Beach". Set up will take place on May 10th. Teacher visits will be on May 11th. The PTO will be providing food and door prizes (2 - $50 gift certificates) during those visits. More than likely the classroom visits will be during the students scheduled library time. There will be a kick off assembly, and Ms. Ridener will tie in a water safety talk for the students during that time. As at the last Book Fair, each student will receive a free book compliments of the PTO. Ms. Bell will get some of the 4th graders to help put together flyers and letters to be sent home with the students. It was discussed about purchasing lays for the kids from Oriental Trading Company. The committee will check on the cost of those. If you have any ideas to help make this the best Book Fair ever, please let someone on the committee know!

Spring Picnic:

  • Cheryl Guthrie provided a list outlining the plans for the Spring Picnic, which will be on Friday, May 18th, 5 pm &endash; 8 pm. All activities are free again this year! Volunteers are needed! The Safety Patrol will be selling food during the event as a fundraiser for their trip to Washington, DC. The total cost will be around $945 ($55 under budget).

Old Business

  • PTO Closet: Jessica Bivens reported that the closet has been cleaned out and organized. Each event hosted by the PTO will have it's own file so that information from each year and be stored. Thank you to everyone who helped with this project!
  • Gardens: Jessica Bivens said that there are still some things to be done in the gardens but progress is being made. (Thank you, Rebecca, for helping Jessica!)

New Business

  • Fundraiser Committee for 07/08 school year: Rebecca Fahey has agreed to head the Fall Fundraiser. We will again be working with Mt. Empire for our Cookie Dough Sales.
  • VP Nominations: Only one person has said that they would consider undertaking this position, but only as a last resort! If you are interested, please see one of the Board Members. Voting for next year's Board Members will be held next month.
  • Playground: Nan Shugart reported that Ms. Ridener had talked with her about painting a map of the United States outside the cafeteria on the concrete or outside the library. This would be a great tool for the students. Mrs. Goins stated that she feels this could be an excellent teaching tool. If we decide to do this, we will need to purchase the stencil and paint. We should be able to get enough volunteers to paint this area over the summer once we have all the supplies. It was requested that $100 be added to the budget to cover the costs of these supplies and the PTO undertake this project. Jessica Bivens made a motion that the request be accepted; seconded by Rebecca Fahey. Motion passed unanimously.
  • Nan also reported that there are no immediate repairs needed on any of the other playground items. Mrs. Goins reported that Kim from the OR Schools Maintenance Dept. toured the playground, and they will take care of any painting and upgrades that need to be done. NOTE: The teachers are still asking about some type of shade structure.
  • Spa Day: A Spa Day for the teachers will be held this Thursday. A sign up sheet will be posted tomorrow so that the teachers can sign up for their 10-minute massage. It was decided that no finger foods would be provided.

Teacher Requests

  • Ms. Bell came and asked that the PTO consider funding a field trip for the Book Club to the Women's Basketball Hall of Fame in Knoxville. The trip will cost $256, which includes admission to the Hall of Fame, a tour and scavenger hunt, lunch and bus transportation. Of the 15 students in the Book Club, 7 are on free or reduced lunch, which was the main reason for her request.
  • The Book Club meets each Wednesday at 11:30 and includes 15 students from third and fourth grades, Ms. Ridener and Mrs. Bell. Sometimes Mrs. Casey joins their meetings. These students were selected to participate for a variety of reasons &endash; some are building academic confidence, some are practicing group social skills, some are mentors. The students do not know what their role is in the group. They just learn from one another. This field trip would be a culminating event for an activity they do each year, our March Madness basketball tournament. The students gather information about the college teams from web sites and newspapers. Ms. Ridener explains how to reach the records and strength of schedule information. They each select 10 teams that they think will make it to the NCAA tournament and select the final four and the winner. This year they used a web site to set up their brackets. The students then used the atlas and a blank USA map to locate and label the universities. This step requires Internet searching as well as map reading skills. They follow the games each week to see if they chose a winner.
  • A vote was held and it was unanimous among the members that this request be approved. Jessica will notify Mrs. Bell.
