Minutes from Glenwood PTO Meeting

April 22, 2008

 

PTO President Jessica Bivens called the meeting to order at 6:35 pm.  Attending this month’s meeting were Jessica Bivens, Rebecca Fahey, Pam Wyatt, Varnie Elliott, Jennifer Melton, Beth Armstrong, Cindy Jackson, Mary Yaun, Audrey Collins, Sharon Dowdy, Judy Rice, Heather McClain and Jeanie Phillips.

Principal’s Report:  Cindy Jackson reported for Mrs. Goins.  TCAP’s went fine and will be sent off soon.  Everyone is just gearing up for the end of the school year.  Mrs. Goins, teachers from Glenwood and Woodland as well as some of the staff from the central office are in Indiana seeing the new material adopted for the reading/literacy program in action.

Minutes:  March’s minutes were available for review & discussion.  Rebecca Fahey made a motion that the minutes be accepted; seconded by Jessica Bivens.  Motion passed unanimously.

Treasurer’s Report:  The Treasurer’s Report was available for review  & discussion.  This month’s report is not much different than March’s report.  Funds for teacher requests have pretty much been exhausted, but we still have a good cushion and it is o.k. to exceed the budgeted amounts.  Overall the budget will be fine.  Pam Wyatt made a motion that the report be accepted; seconded by Sharon Dowdy.  Motion passed unanimously.

COMMITTEE REPORTS

Yearbook:  Sharon Dowdy reported that realistically she is not sure if she can do the yearbook next year.  She really needs someone to coordinate getting pictures and help with the design.  Her job status for the upcoming year has not yet been decided, and she doesn’t want to commit to this project and then not be able to fulfill her commitment. She has really enjoyed working on the yearbook and has put a lot of work into this project.  There was a parent (Scott) from our first meeting who knows Photo Shop and expressed an interest in helping out.  If you know of this parent, or anyone else who might be willing to take over this project, please contact Sharon. She still needs pictures for Strings, and Mrs. Jackson said that she could get those for her.  She also needs pictures for the science lab.  Hopefully everything can be in by the middle part of next week.

Food City/Box Tops:  Pam Wyatt reported that the total amount of Food City “Dollars” received was 98,728.  Missy McCallen has completed the necessary forms to place an order for the school.  She was able to purchase a digital camera for the computer lab, 2 sets of 10 calculators for the math lab, a timer set, a model of a flower, 2 volleyballs and 1 set of Danger Ranger videos.  We are still collecting Box Tops for our last contest of the year.

Teacher Appreciation:  Mary Yaun reported that Teacher Appreciation Week would be May 5th  – May 9th.  She had an example of a certificate that she has made so the students can complete them and present them to their teachers.  Each child will receive two certificates so that they can present one to a special area teacher of their choice.  A letter will be sent home with the students instructing parents on what needs to be done.  Our last Fab Friday will be on Friday, May 9th.  Pam Wyatt made a suggest that we do something a little different this time and title the day “Thanks for a Souper Year” and have different soups available with all the fixings.  Mary will send out an e-mail to see what the response is for this idea.  Heather McClain said that at her daughter’s previous school the children brought in something for the teachers each day.  One day was “card day”, one day was “candy day”, etc.  We did a form of this last year.  Mary will see about that as well.  Things that get the children involved are always appreciated very much by the teachers!

Fall Fundraiser:  Jessica Bivens reported that we would be using the Goodies Factory for our fundraiser in the fall.  One of our biggest concerns was the shelf life of the items.  The rep for the company said like with Mountain Empire they say that the items can be left out, but they don’t recommend it.  They will bring the refrigerated items on a freezer box pallet for storage.  Since we can pick the delivery date it has been suggested that the items be picked up at the same time as Open House.  MULTIPLE notes will be sent home giving the dates and times for pickup.  As Jessica reported before, the company will sort and drop off the items at our request.  As last year we will collect the money once the items are delivered and not before.  We will get to use the inflatables at next year’s Spring Picnic.  The assembly to kick off the fundraiser will be on Sept. 5th.  All orders will need to be turned in by the 22nd, and delivery will be on Oct. 16th.  A chairperson is still needed!  Heather McClain said that she would look at her schedule and think about chairing this event. 

Volunteer Sign up:  Last year we had tables set up during the parent visitations for each grade asking for volunteers throughout the year.  It was suggested that maybe we set up a table this year during the Spring Picnic asking for volunteers.  Everyone agreed that this would be a great idea.

NEW BUSINESS

 

Spring Picnic:  Jessica Bivens reported that this year’s Spring Picnic would be on Saturday, May 10th, from 1 p.m. until 5 p.m.  A flyer will go home this Friday asking for volunteers.  Set up will be from 10 a.m. until noon.  Right now Jessica is trying to organize everything.  She is not sure what inflatables we will get from Mountain Empire.  As far as food for the event, she is not sure if the Safety Patrol will have food for sell like last year to help raise money for their trip.  If not, we will need some type of food source.  It was mentioned that the cafeteria group does catering.  Heather McClain also said that he husband might be able to help.

 

Cubs on Track:  Beth Armstrong reported that all the paperwork is ready and just waiting to be approved.  Right now the plans are for anyone available to help get the envelopes ready and the ribbons in order to plan on meeting at Linda Twohig’s house this Saturday night.  Linda will send out an e-mail with the time and directions to her house.  Nan Shugart is contacting Wendy’s to get the meal coupons.  The prizes will be the same as last year i.e. the top ten will get to pick which Glenwood staff member they would like to be for a day.  The schedule for the event is:  Kick-off assembly on May 9th, last day to turn in money is May 15th, actual event on May 16th.

 

Jessica Bivens circulated a form for those interested in purchasing “Glenwood Volunteer” shirts to be worn during these functions.  The cost of the shirts will be between $8 and $10.

TEACHER REQUESTS

  • Missy McCallen - A request was made for funds to purchase 60 pairs of Fiskar scissors and 20 sets of dice for the Kindergarten packets that are being put together this week for “Kindergarten Roundup”.  Total amount requested:  $145. Request was approved.
  • Jeanie Phillips – A request was made for 24 Whisper Phones and storage pouches for small reading groups in Kindergarten.  This should be enough for all three kindergarten classes.  The students who will benefit the most from the phones are the kindergarteners struggling with phonemic awareness and those beginning to read.  Total amount requested:  $233.80.  Request was approved.
  • Nan Shugart – A request was made for $100 to be used by The Family Resource Center to purchase lice shampoo, school supplies, clothing and groceries (food) for indigent students.  By purchasing these items needy students can be helped to maintain their school attendance as they will have the items they need.  Total amount requested:  $100.  Request was approved.
  • Kathy Casey – A request was made for “Lights Camera Action” Director Score, “Lights Camera Action” Singer 20 pack and “Lights Camera Action” P/A CD as well as 12 white t-shirts and 12 white hats for the 4th grade program.  Mrs. Casey has $100 in the budget for this year, however the total cost for all these items will go over this amount.  Total amount requested:  $175.89.  Request was approved.
  • Office Staff – A request was made for 2 new backpacks and items to restock the kits for all teachers i.e. bandaids, wet wipes, Ziploc bags, hand sanitizer and gloves.  These first aid kits are used everyday by the teachers at school and on field trips.  This request was put on hold until our May meeting because no amount was listed on the request. 
  • Amelia Bell – A request was made for money to fund a yearlong program called “Bread Around the World” that links geography, literature and information literacy for third grade students.  Ms. Bell provided an outline for the program as well as a list of resources needed.  The items she requested was a World Almanac Atlas of the World, paperback, set of 20; Country Explorers book set of 12 countries, Travels with Charlie, set of three x 4; Bread Machine, Electric Griddle; Bowls, utensils and supplies.  It was decided that this request would be pended until next month’s meeting so Mrs. Bell can attend the meeting and provide additional information before a vote.
  • Judy Rice – A request was made for a pull-down USA and World map.  During the recent installation of the new heating and air conditioning system, Ms. Rice’s map was damaged beyond repair.  The School Improvement Plan has targeted the area of social studies, and a new map would help achieve this goal.  Maps enhance the teaching of reading, language arts and science, but they are also imperative for teaching social studies.  The map that Ms. Rice is requesting is from Nystrom and is a world and USA map combination measuring 65” x 53” that is mounted on a spring roller with a backboard.  Also included is a globe with raised relief in gyro-disc mounting, 16” in diameter.  Total amount requested:  $475.  Request was approved.
