January 18, 2005 PTO Meeting Minutes

PTO President Lisa Ridenour called the meeting to order at 6:35 p.m. Those attending included Lisa Ridenour, Nan Shugart, Carolyn Livengood, Tracy Viau, Rebecca Birmingham, Lee Walter, Cheryl Guthrie, teacher Jody Bisbee, teacher Mary Ann Hull, teacher Connie Moehl and Principal Pearl Goins.

Principals Report Glenwood children and staff are enjoying the beautiful new mural in the cafeteria.

Wendys has asked to be a Partner In Education with Glenwood. Ms. Goins met with a Wendys representative who said that Glenwood could borrow the Frosty Machine anytime; Glenwood children on field trips could eat free at Wendys at the Oak Ridge location (10% off in areas outside Oak Ridge); Wendys would provide everything needed for a Chili Night with Glenwood receiving 20% of sales (Glenwood would pre-sale tickets with Glenwood volunteers serving the food); Wendys will supply treats for Glenwood awards. Because Glenwood School is not allowed to fundraise, Cheryl Guthrie moved that Glenwood PTO be the organization to work with Wendys on fundraisers and to earmark monies earned for special school needs determined by Ms. Goins. The motion was seconded by Carolyn Livengood and passed unanimously. Wendys asked that Glenwood display some type of banner at the school which would let everyone know about this new partnership.

Ms. Goins reported that Glenwood children raised $2,0048.00 within a weeks time for the Tsunami relief fund. Many of the children brought in their Christmas money or birthday money and the school was overwhelmed with the students response to the Tsunami relief fund request. There will be a special school assembly this Friday, January 21 at 8:30 am to present the above money to the Red Cross. Ms. Goins has made contacts for publicity for this occasion.

November Minutes

Treasurers Report Lynda Marcoux was absent due to an illness in the family; however, she provided Lisa with the operating statement for the period ending January 18. Lisa distributed copies of the report. Nan Shugart moved to accept the operating statement. Lee Walter seconded the motion, which passed unanimously.

Committee Updates

Yearbook Committee Chair Rebecca Brimingham reported that she still needed photos for all grades except 2nd grade. Repeated requests for yearbook photos have been made in PTO newsletters. Lee Walter agreed to take photos of upcoming Glenwood events and photos around the school. Ms. Goins said to check with Missy McCallen as she has taken many Glenwood photos that would be appropriate for the yearbook. Rebecca has ordered 376 yearbooks, enough for all students and teachers to have a yearbook at no charge. The contract with Life Touch for the yearbooks will be completed by February 28. Approximate price per book excluding shipping cost is $7.98 which the PTO has budgeted.

Playground Committee Co-Chair Nan Shugart reported that Ms. Mona Ridener had purchased some hardware to better secure the three tetherball sets. Nans step-father put the hardware on this past weekend. The Playground Committee is still waiting for The Rogers Group, one of Glenwoods Partner In Education, to contact us about the topsoil they are searching for to fill in areas around our blacktops. Once the weather gets warmer, the Playground Committee will be accomplishing more work on the playground including attaching the new basketball backboard.

Carolyn Livengood asked about security around the playground since a newspaper report in October of an attack on a girl near Glenwood playground. Ms. Goins said that the Glenwood students are not allowed beyond the fenced area of the playground and the teachers were alerted to the October incident and to be even more vigilant in their safety concerns for the children while they played on the playground.

Old Business

Ice Cream in Glenwood Cafeteria Lisa said that volunteers who signed up at the November PTO meeting to assist with possible ice cream distribution would not be needed.

New Box Tops for Education Contest Committee chair Melanie Braden was not able to be at the meeting; however, she asked that Lisa share the following information about the Box Tops for Education Contest. Nan Shugart has agreed to donate her substitute teaching time so that the winning teacher will receive a half-day off. Lisa said that JMS had given Krispy Crme donuts and milk as one of their classroom prizes. Carolyn Livengood commented that we always reward the children with food and was there something else that could be given. Ms. Goins said that for many children, the food treats were indeed something special. After some discussion, it was agreed that the winning class would receive Krispy Crme donuts and milk along with some fun games to play coordinated by Nan Shugart and Carolyn Livengood. Lee Walter offered to donate his Krispy Crme coupons so that the PTO could purchase the donuts. Milk will be purchased with PTO funds.

Grandparents Day In the last PTO newsletter, Lisa asked for someone to coordinate Grandparents Day. Lisa asked again at the meeting if anyone was interested in coordinating the event. With no one offering, Lisa felt that this event was too important to the students and their grandparents to cancel; therefore, she and Cheryl Guthrie and Kim Brinkman will coordinate Grandparents Day. The date has been set for Friday, March 11. Lisa will be surveying the teachers for their input on Grandparents Day.

Glenwood Chick Fil A Night Lisa received word from Laura McLean that our night has been changed from March to April. Date to be determined.

Teacher Requests Kindergarten teacher Jodie Bisbee

Ms. Bisbee asked if the PTO would purchase Step Boards for her classroom which she would share with other teachers in Kindergarten, CDC and first grades, if interested. Step boards are sturdy plastic boards for language arts and math using tiles and strips that encourage hands on manipulation and independence and offer a wide range of skill level. The strips help with sequencing letters, words and numbers. Ms. Bisbee had a board she borrowed from Ms. Hook and she demonstrated how the board worked with the strips and tiles. Ms. Bisbee asked for $323.15 to purchase (4) boards (each board costs $18.00) along with alphabet tiles and upper and lower case letters. After Ms. Bisbee and other teachers left the meeting, PTO members discussed the request and there was unanimous agreement that Ms. Bisbee should have at least six boards for her classroom in order to involve more students. Tracy Viau made a motion to approve Ms. Bisbees request with the addition of two more boards. Carolyn Livengood seconded the motion, which passed unanimously.

New Business

Grandparents Day Friday, March 11

Spring Picnic Committee co-chair Tracy Viau reported that she had received last years committee chairs notes from Laura McLean. Tracy had made several phone calls to inquire on prices and availability of outdoor fun equipment for the Spring Picnic scheduled for Friday, May 13 with a rain date of May 20. The company that was used last year is no longer operating; however, Tracy located the company that purchased the equipment and they are offering much lower equipment prices compared to last years prices. There was concern that this company would not be available to take down the equipment and Tracy was going to pursue this more with the company. Lee Walter suggested that the PTO pay a maintenance person from the school to take down the equipment. Ms. Goins said that the person would need to be off the school clock in order to be available to do this. Tracy said that this years budget for Spring Picnic is $800.00; however, $1300.00 was spent last year. Lisa said that some of the activities, such as the pony rides, actually made money and that was the difference in budget numbers. Everyone agreed that we should again offer pizzas for sell and perhaps we could have Wendys Frosty's available. Ms. Goins will check with Wendys. Lisa reported that the Boy Scouts who assisted last year would assist this year.

Cubs on Track Gym teacher Mona Ridener, Coach Glover, and Clinic Nurse Lori Gupton will be coordinating Cubs on Track and incorporating some new ideas this year such as less competition, no expensive prices offered, and perhaps offering fun awards such as Principal for the day. Stella Schramm will coordinate the corporate business donations.

Spring Book Fair The Book Fair family event will coincide with the Spring Picnic on Friday, May 13 and will be held in the school library with Librarian Amelia Bell helping committee co-chairs Nan Shugart and Teresa Murphy. Cheryl Guthrie will not be able to continue to co-chair the Book Fair and everyone will miss her wonderful creativity very much. The Book Fair theme is Tell A Great Tale involving pets. Nan and Teresa will attend the two hour Scholastic training on Feb. 9 for theme details.

The next PTO meeting will be Tuesday, February 15 at 6:30 p.m.
