March 14, 2006 PTO Meeting Minutes

PTO President Cassie DeJarnette called the meeting to order at 6:35 p.m. Members in attendance were: Cassie DeJarnette, Cheryl Guthrie, Todd Guthrie, Lynda Marcoux, Pam Wyatt, Sharon Dowdy, Vickie Quick, Jessica Bivens, Amelia Bell, Nan Shugart, Pearl Goins, Lisa Ridenour, Mary Yaun and Kim Brinkman.

 

Principals report

Mrs. Goins reported that the school calendar has been posted for the remainder of the year. Everyone will be busy once school resumes after Spring Break with TCAP's and DRA testing. The school board is in the process of working on next year's budget (which will be tight). Glenwood has asked .5 teachers for reading and .5 teachers for resource. Mrs. Hull (K) and Mrs. Gaddis (1st) will retire in May. There will be something special planned for them at the end of the year. Mrs. Bisbee will be going back to Kindergarten next year. There will be openings in 1st & 2nd grade.

Lynda Marcoux asked Mrs. Goins about the parking violations that are occurring. Mrs. Goins said that she is well aware of the problems. One solution is to re-stripe the parking lot over the summer and totally revamp pick up procedures. This is something she is looking in to. Mary Yaun stated that she would address the parking lot concerns in the upcoming PAWS issue.

Mrs. Goins was also asked about the time change issue for the upcoming school year. She stated that this would be decided on before school lets out in May. Also in the works is stump removal from the playground area as well as concrete for the sidewalk that is used by parents when picking up their children from ECC. The Maintenance Dept. will also be bringing topsoil in and re-seeding the playground.

 

Minutes

February's minutes were available for review. Jessica Bivens moved that the minutes be accepted. Nan Shugart seconded the motion; motion passed unanimously.

Treasurers Report

The Treasurer's Report was distributed for review. Nan Shugart moved that it be accepted. Mrs. Goins seconded the motion; motion passed unanimously.

Committee Reports

Spring Picnic
Cheryl Guthrie handed out a flyer for the upcoming Spring Picnic, which will be held on Thursday, April 27th, from 5 pm - 8 pm (rain date of Monday, May 1st). She also passed out sign up sheets for volunteers. This year will be different in that all of the activities are free. Bob Gibbs from Awesome Bob's Party Rental will be providing the activities for the picnic. He has a neat log cabin that he sets up from which he will serve food & drinks that can be purchased. It was the committee's feelings that by going this route it would allow each family to be able to spend time and enjoy the picnic. The activities that will be available this year will require fewer volunteers. Three students from JMS will dress up as clowns and pass out balloons to the children. Water coolers with cups will be placed throughout the playground during the picnic. Another difference this year than in the past is that the inflatables will not be available during the school day for the students to play on. Glenwood night at Chick-Fil-A is the same as the picnic, but we are trying to get this moved to another night.

 

Bookfair
Nan Shugart announced that Lynda Marcoux and Kasi Ross have agreed to Co-Chair the Book Fair Committee for 2006-2007. They will be working with her during the Spring Book Fair to familiarize themselves with the position. (Thank you, Nan, for all your hard work and dedication over the past years. We appreciate you so much!)

T-Shirts
Lynda Marcoux reported that order forms along with letters to parents will be going out soon. The plan is for a two-week turn around from the time the order is placed.

Fundraiser
Cassie DeJarnette gave a fundraiser recap. For the first time Glenwood had a post-collect with Mountain Empire Promotions. The leftover orders, which weren't picked up or returned, were sent to DeJarnette's house. She will sell them for the PTO. Unfortunately the PTO lost $500 from unwanted orders and orders not picked up. DeJarnette reported that the company was easy to work with and they met to pursue next year. She is unsure who will head up the committee next year. Due to family illness, she will not be able to chair the fundraising committee. She had some options for next year's fundraiser which were available for review after the meeting. One option was Smokey Mountain cookie dough. This company also sponsored the mega party.

New Business

Future Playground Committee:

Nan Shugart brought to the table about whether or not a Playground Committee will be needed next year. Most of the work that is done to the playground takes place during the summer before school starts. She stated that she does feel the PTO needs to be a support to Ms. Ridener. Ms. Bell spoke on the behalf of Ms. Ridener and stated that Ms. Ridener is not on the playground except when class is held on the soccer field and on the track. The playground should not be her responsibility other than to request items that are needed. Mrs. Goins noted that the Maintenance Dept. would refurbish any playground equipment that was not purchased by the PTO. If we decide to have a Playground Committee next year a chairperson is needed, as Nan will be retiring.

2006 - 2007 PTO Board:

Per Cassie DeJarnette elections for the 2006 - 2007 Board will be held at the May meeting. Jessica Bivens has volunteered to take over the Co-President position currently held by Cheryl & Todd Guthrie. She will take over now so that she can work closely with Cheryl through the end of the school year. (A silent vote was held and passed).

PTO Website:

Todd Guthrie asked if anyone would be interested in keeping the website up to date. Todd took over these duties last year. Jessica Bivens stated that she would take over this position if no one else was interested.

2006 - 2007 Fundraiser:

Cassie DeJarnette reported that if we are planning to have a fundraiser in the fall a chairperson is needed to head up the event and a program/fundraiser needs to be picked. If we want to do one of the catalog fundraisers we need to sign up now. Mrs. Goins said that Willowbrook held a Teacher/Parent basketball game as a fundraiser that was a success. Chick-Fil-A sold boxed meals and a portion of the sales when to the school. If we wanted to do something of this nature we could probably use the gym at JMS. Kim Brinkman brought to the table the possibility of having a silent auction. Mary Yaun suggested a sock hop where tickets were sold to attend the dance and everyone dressed up. Further discussion will be held at the next meeting.

Door prizes were drawn. Mrs. Goins was the winner of a Big Ed's T-shirt, and Jessica Bivens won a magazine subscription.
