May 24, 2005 PTO Meeting Minutes
PTO President Lisa Ridenour called the meeting to order at 6:40 p.m. Members in attendance were Lisa Ridenour, Cheryl Guthrie, Lori Gupton, Nan Shugart, Pam Wyatt, Linda Twohig, Linda Krusen, Tracey Dolinski and Cassie DeJarnette.
PrincipalŐs report - No report due to Ms. Goins being sick.
April 2005 Minutes - April's minutes were distributed for review. Lynda Marcoux moved that the minutes be accepted. The motion was seconded by Lori Gupton and passed unanimously.
TreasurerŐs Report - Lynda Marcoux distributed the Treasurer's Report for the period ending 5/24/05 for review. Lynda explained some of the administration expenses noted on the report i.e. expenses incurred for paper, name badges, "Boo Hoo" breakfast items, stamps, a check endorsement stamp, checks, Thank You cards (which go out to all our contributors during the school year) and Belinda's gift card. She asked for $50 to be budgeted for these items next year. She personally paid for many items this year.
Nan Shugart moved that this be added to next year's budget, and Cassie DeJarnette seconded the motion. Linda Twohig moved that the Treasurer's Report be accepted. A second was made by Cheryl Guthrie, and the motion passed unanimously.
Linda also informed us that the PTO will be starting out the 2005-2006 school year with a balance of $6,301.02 in the checking account.
Committee Reports
Playground
- Nan Shugart reported that she met with Josh Collins who is the
Director of Parks and Recreation for Oak Ridge as suggested by Ms.
Hook in order to learn more about playgrounds. He provided her with
information on how to purchase playground equipment and about
playground safety. He was asked to recommend someone who could come
out and do a "safety audit" on our playground equipment. Nan will
communicate his report to her committee as well as to Ms. Goins.
Spring Book Fair
- This was the best Book Fair yet! This Book Fair brought in more
money than any previous Book Fair (spring or fall). Because Cubs on
Track was such a success, the committee decided to take everything
made in books. This allowed us to fill every teacher's wish list
($1,084.50), buy books for the library ($2,553.93), give $5
certificates to the winners of the student contests that were held
during the week as well as provide each child with a $5 certificate
to be used at the Book Fair. The Pet Photo Board was a big hit with
the children as well as the staff!
Nan wanted to thank each and every member of these two committees for all their hard work during the year. She couldn't have done it without you!
Box Tops for Education
- Melanie Braden was not present, so Lisa Ridenour reported for her.
This year we received a total of $727 in box tops, which almost put
us at our goal for the year. Thank you to all the ones who
contributed. Don't forget to save those box tops during the summer!
Yearbook
- Thanks to the hard work of Shawna Smith & Linda Twohig, the
yearbooks will be here tomorrow! The total cost of the yearbooks came
to $2,360.09, which is about $2,400 less than what Life Touch would
have charged us.
Spring Picnic
- Tracey Viau and Rebecca Birmingham were absent so Lisa Ridenour
reported for them. This year's picnic went okay. The crowd was good,
but we did have a shortage of volunteers, which caused things not to
run as smoothly as we had hoped. A huge "THANK YOU" goes to Boy Scout
Troop 42. Without them and their parents things would not have gone
as well as they did. This group worked for 4 hours straight. Lisa is
going to send a letter to their Troop Leader expressing our
appreciation for all their hard work. Several people signed up to
work the picnic but never showed. It was mentioned that maybe next
year we could get more of the staff to agree to volunteer during this
event. We appreciate so much the ones who gave of their time this
year!
Cubs on Track
- Lori Gupton reported that this year's Cubs on Track was a great
success. Thank you to everyone who helped in any capacity. Everything
ran smoothly, and each child came away a winner. Every child who
brought in money received a coupon for a free Wendy's Kids Meal, and
everyone received a ribbon for participating the track activities.
They also received a ticket for every $10 they raised to be used at
the Spring Picnic. The top ten fundraisers got to chose between a
ride to school in a fire truck, a ride to school in a police car or
being their favorite Glenwood staff member for a day.
Cubs on Track raised $4,818.67 which purchased yearbooks for each child. Our costs for the event were $35. The only changes that were suggested for next year would be regarding when to have the event. Having this event along with the Spring Picnic and the Book Fair all in one day is a little much to say the least!
Old Business
Teacher Appreciation Week &endash; A great time was had by all! The teachers loved having the children involved during the week's activities.
New Business
It was brought up about sending a letter out the first week of school to our contributors to raise money for landscaping. It might be that the children could start seedlings to be planted in a flower garden. Lori Gupton stated that this would be something that would have to be maintained year after year. We also need to be selective about how and who we solicit. Nan Shugart felt that a committee would need to be formed and more parents involved if we undertook this project. Because of the planning involved to enable us to go any further this with, it was decided that this project would be tabled until next year so that more information could be collected.
Nan Shugart took the floor and expressed her concerns that the chairs for each committee need to involve more kindergarten parents. This will insure that we have more people to "step up" when chairs rotate off as their child leaves Glenwood. The committees themselves need to broaden. Next year the Book Fair Committee will be one that will incorporate "mini committees" within itself. For all those who have served/are serving on this committee, it is no secret that the Book Fair requires a lot from its workers.
Lisa Ridenour suggested that all committee chairpersons make contact with their members. Several parents this year remarked that they signed up for committees and were never contacted. This gives the impression that we have enough volunteers when that is far from being true. Chairpersons, make contact with all those who sign up to volunteer on your committee! Even if you find that you have more than enough volunteers, let them know. They may be willing to serve on another committee that is in need of more help!
Incoming Officers
The incoming officers for the 2005-2006 school year were voted on, and the vote passed unanimously. They are as follows:
The PTO presented Lisa Ridenour with flowers and a gift certificate to show our sincere appreciation for all the many hours she has invested in making Glenwood's PTO the best. Her dedication to and love for all the children at Glenwood is an inspiration to us all. THANK YOU, LISA! J
