May 16, 2006 PTO Meeting Minutes
PTO President Cassie DeJarnette called the meeting to order at 6:40 p.m. Members in attendance were Cassie DeJarnette, Lynda Marcoux, Jessica Bivens, Nan Shugart, Cheryl Guthrie, Mary Yaun, Vickie Quick, Pearl Goins and Linda Twohig.
Principals report
Ms. Goins reported that the Council Meeting on the 22nd will be the final meeting and it will have an impact on Glenwood for next year. Because of the transportation cuts, attendance may be affected. Coach Glover and Ms. Shepherd will not be with us next year. We will be adding two teachers based on retirements this year.
As of right now there will only be two 1st grade classes for the upcoming school year. DRA's are finishing up and the scores will be on report cards. TCAP scores, however, will not be back in time.
Minutes
The April minutes were available for review & discussion. Nan Shugart made a motion that the minutes be accepted. Motion seconded by Lynda Marcoux. Motion passed unanimously.
Treasurers Report
The Treasure's Report was distributed for review & discussion. It looks like the PTO will have approximately $8700 to work when school starts in August. Jessica Bivens made a motion that the report be accepted. Motion seconded by Linda Twohig and the motion passed unanimously.
Committee Reports
Yearbook
Linda Twohig reported that the yearbooks are at the printers and are
expected to be at the school on the 24th. Shawna has done an awesome
job in getting the yearbooks ready to go to print. It was brought to
the table that we need to think about purchasing software for next
year for the yearbook preparation. Sharon Dowdy, who has a background
in graphic arts, has agreed to take over Shawna's position on the
Yearbook Committee for the upcoming school year. Jessica Bivens has
researched different software programs and has found one that is
highly recommended and user friendly. The cost is $200. Jessica's
feelings are that if we go ahead an purchase the software now Sharon
can learn the program over the summer and since we will already have
the software in place, the committee can basically work on the
yearbook all year long. We need to see if we can buy the software
ourselves or if it will have to be purchased through the school to
get a discount as an academic ID is required. Lynda Marcoux made a
motion that we go ahead and purchase the software. Linda Twohig
seconded the motion and all members were in agreement. The logistics
of the purchase will be worked out between the PTO and the school.
Missy McCallen sent word to the meeting through Linda Twohig that she
had talked with LifeTouch and they have offered to provide us with a
CD of all the school photographs labeled for $150. She thought this
would be something the PTO might want to look at for next year. Linda
Twohig also asked if the PTO could do something for Shawna to thank
her for working with us again this year. Lynda Marcoux made mention
that the committee can spend up to $50 without the need of a vote.
Since Shawna's family is in the process of building a new home, it
was decided that a gift certificate to Home Depot would be purchased
and presented to her.
Bookfair
Nan Shugart wanted to thank all of the Book Fair Committee Members
and volunteers for an awesome Book Fair. The Spring Book Fair was the
highest ever at Glenwood! The total sales were $6,208.80, and over
$4,300 was taken as book profit.
Playground
Nan Shugart reported that everything has been tried to fix the
drainage problem down on the blacktop. The problem has been turned
over to the Oak Ridge School Maintenance Dept. They will work in
conjunction with the Rogers Group to try and fix this problem. There
is $500 left in the budget, and Nan requested that some of this money
be used to purchase five (5) stilts for Ms. Ridener to use in gym
class.
Newsletter
Mary Yaun has agreed to continue publishing P.A.W.S. for the upcoming
school year. The publication will be distributed every two months
with a "Welcome Back" issue for August/September. She will check the
school calendar regularly for information to be put in each issue and
would like e-mails from others with any additional information they
would like to see included.
Cubs on Track
Jessica Bivens reported that this year's Cubs On Track made $2,633.40
which is $2,000 less than last year. The students seem to have
enjoyed the event. Jessica said that she learned many lessons from
heading up the event this year! More parent involvement is needed!
Jessica said that she is going to look at doing things a little
differently next year.
Old Business
Ms. Anderson request was presented back at the April meeting and a closed vote was held. Due to the outcome of the vote no decision was made. Ms. Anderson came back to the Board and asked for $900 to help offset the cost of the reading intervention program, and the Board elected to approve the request.
New Business
New Committee Chairpersons:
We still need chairpersons for some committees for the upcoming school year. Kim Brinkman has agreed to chair the Boo Hoo Breakfast in August. Jessica Bivens has agreed to chair Cubs on Track for next year, and Mary Yaun will chair Teacher Appreciation. We still need a chairperson for our Fall Fundraiser and also a person to take care of the PTO website.
Fall 2006 Fundraiser:
Several ideas were brought to the table regarding a fall fundraiser. Cassie DeJarnette made note that we need to make a decision as to what we want to do for a fundraiser as time is running out. Nan Shugart made a motion that we do the Cookie Dough sales , and Linda Twohig seconded the motion.
Teacher Requests:
"Tales of a 4th Grade Nothing" is a play by Tin Solider Productions, and Glenwood has the opportunity to have this production come to our school tomorrow, May 17th. Ms. Goins asked that the PTO considering covering the cost which is $600. Jessica Bivens made a motion that we approve this request. Pam Wyatt seconded the motion, and all members were in agreement.
Ms. Barkman made a request on behalf of the Science Lab for "Nature Watch". The items included with this package is Janice Van Cleave's books on plants, rocks & minerals and the solar system; Peterson Guide for birds, insects, mammals and shells; Eco-Solutions Activity Kit; Eco-Solutions Extra screens. The cost is $124.85 plus S/H. Nan Shugart made a motion that we approve this request. Jessica Bivens seconded the motion and all members were in agreement.
PTO Board Elections for 2006-2007 School Year:
Linda Twohig made a motion that the 2006-2007 Board be approved. Nan Shugart seconded the motion and all members were in agreement.
The PTO wanted to recognize two members who have given so freely of their time and energy over several years to the PTO and to Glenwood Elementary as a whole. A plaque was placed in the garden at the front of the school to thank Nan and Mark for all their hard work and dedication to the Playground Committee and the Book Fair. Cheryl Guthrie was presented with flowers to thank her for all her hard work and dedication to the PTO and to Glenwood.
Drawings were held for this month's door prizes. The winners were:
