November 15, 2005 PTO Meeting Minutes
PTO President Cassie DeJarnette called the meeting to order at 6:35 p.m. Members in attendance were Cassie DeJarnette, Cheryl Guthrie, Pearl Goins, Pam Wyatt, Jennifer Melton, Mary Yaun and Tracey Dolinski.
PrincipalŐs report - Ms. Goins reported that things are going well. December 7th will be the first meeting for the School Improvement Committee. This committee will be meeting on a monthly basis. The second phase of the reading testing will be completed for the students before Christmas. The next thing that the faculty and students will need to get ready for is TCAP's. Ms. Goins asked if anyone in the PTO would be interested in volunteering to help with a school newsletter. This would be a good means of communicating with the parents to keep them informed of school news, PTO news and upcoming school events. The front office is just unable to handle this project, so Ms. Goins was in hopes that someone would volunteer to help. Mary Yaun voiced that she would be interested in helping with this. Cheryl Guthrie made mention that we would need to think about having a Spanish translation, and Ms. Goins said that the computer software has the capability to do that.
Minutes - October's minutes were distributed for review. Jennifer Melton moved that the minutes be accepted. The motion was seconded by Cheryl Guthrie and passed unanimously.
TreasurerŐs Report - Lynda Marcoux was unable to attend, however the Treasurer's Report was distributed for review. The DVD sales from the 1st & 2nd Grade Musicals were good. We received $3.00 for each DVD that was sold. The only question that was brought up regarding the Treasurer's Report was the expenditure for the web page. It was explained that this is a yearly fee the PTO pays in order to have that domain. Pam Wyatt made a motion that the report be accepted. The motion was seconded by Cheryl Guthrie and passed unanimously.
Committee Reports
Empire Fundraiser
Cassie DeJarnette reported that money was still coming in. To date
approximately $13,000 has been received with approximately $10,000
still due in. Also the total sales will be higher than first thought
because 15 orders were in the vault and were never turned in to the
fundraiser company. These have been sent in. Cassie informed the
committee that she received a letter from Empire stating that since
we did not have a tax-exempt number, we would need to pay them $2,000
(which would only leave us with receiving $7,000). In years past the
company we worked with has waived this. Ms. Goins asked if this is
something they can come back and request after the fundraiser is
complete. Cassie is going to contact Mt. Empire and Great Western
Reserve regarding this matter and will report to us at the next
meeting. As for the MEGA party, it will be held on November 23rd from
9 a.m. until 11:30 a.m. All students who sold 12 items will attend.
The top sellers will get to ride in the Hummer to McDonald's for
lunch. Volunteers will be needed to work the party. Ms. Goins voiced
a concern about the temperature if the MEGA party is held outside.
Would it be possible to choose items that would fit in the gym?
Cheryl Guthrie made mention that we had talked about having the MEGA
party at the time of our Spring Picnic, as this would save money for
the PTO. Cassie stated that we couldn't use the MEGA party then
because the Spring Picnic is too far off. The party has to be held
close to the time of the fundraiser. Cassie will check and see if the
items we can get will fit in the gym.
Hat Day
Cheryl Guthrie reported that Hat Day was held on November 11th, and
it was a great success! A total of $324 was collected which will go
towards the cost of the yearbooks. A big THANK YOU goes to Miss Boyd
for providing hats for those who forgot to wear one or who didn't
have money on that day. Cheryl also wanted to thank all the
volunteers who helped during the event.
T-Shirts
Lynda Marcoux has placed the T-shirt display in the teacher's lounge.
Cassie reported for her and stated that she and her committee will
meet and decide which shirts we will sell. It was suggested that the
display be placed in the foyer first so that people will have a
chance to look at the selection before a decision is made on which
shirts will be sold. Cassie will pass this information on to Lynda.
Old Business
The upcoming PTO events for 2006 are Cubs on Track, Spring Picnic, Spring Book Fair and Grandparent's Day. We still do not have definite dates for these events nor do we have a chairperson for Cubs on Track. Sheila Eason and Amy Morgan have agreed to chair Grandparent's Day. They will get with Mrs. Goins and decide on a date. It was agreed upon that the Spring Picnic and Cubs on Track should not be on the same day.
New Business
Chik-Fil-A's having a fundraiser. They will be selling calendars for $5. For each calendar bought with the coupon they will provide with our school's name on it, we will receive $2. This would be a non-competitive fundraiser. Mrs. Goins said that if the PTO approves this, it would be the parent's option as to whether or not they participated. Mary Yaun made a motion that we participate in this fundraiser. The motion was seconded by Jennifer Melton and passed unanimously.
This month's door prize was a $20 gift certificate to Big Ed's. Pam Wyatt was the winner!
