October 20, 2005 PTO Meeting Minutes
PTO President Cassie DeJarnette called the meeting to order at 6:40 p.m. Members in attendance were Cassie DeJarnette, Pam Wyatt, Nan Shugart, Jennifer Melton, Jessica Bivens, Lynda Marcoux and Tracey Dolinski.
PrincipalŐs report - No report
Minutes - September's minutes were distributed for review. Lynda Marcoux moved that the minutes be accepted. The motion was seconded by Nan Shugart and passed unanimously.
TreasurerŐs Report - The Operating Statement for the period ending 10/18/05 was distributed for review. (1) Lynda Marcoux made note that Ellen Stephenson purchased the megaphone (which was approved at last month's meeting) from a different company and therefore the cost was $95.90. The school will cover the additional cost, as the amount approved for this item from the playground budget was $80.00. It is not known whether or not the other teachers have purchased their items that were approved at the last meeting as no receipts have come through. Lynda and/or Cassie will follow up on that. (2) Tax Exempt Application Status: Lisa Ridenour has offered to help Lynda complete the application, as it is very involved. Ellen Stephenson has offered to take the application over to the accountant for Oak Ridge Schools once Lynda and Lisa have reached the "financial" portion of the application for their input and guidance.
Committee Reports
Empire Fundraiser
Cassie DeJarnette reported that there were a lot of issues with this
fundraiser. It took two weeks to get everything turned in, and once
they had all the paperwork, they had to spend a great deal of time
trying to match up checks and cash with the appropriate packets that
was turned in ahead of time. If the money is collected for everything
that was sold, the sales will total $23,663.50. The PTO will receive
40% of that money or $9,465.40. The first $14,000 that is collected
will have to be sent directly to Empire via check from the PTO.
Cassie was told that delivery of the items should be some time next
week. It was discussed as to whether or not we give the items out and
then receive payment once they are delivered or whether we will send
a note home with the students explaining that they will need to pay
for their order in full when the items are picked up for
distribution. In order for us to make this request, we will have to
pull the order forms and send a copy home with each student so that
they can be prepared to pay upon pickup at the school. Cassie will
discuss this with her mother as she has agreed to help Cassie will
this part of the fundraiser. Cassie will notify the PTO if she needs
help in making copies of the order forms, etc. The MEGA Party is
tentatively scheduled for Wednesday, November 23rd with all students
attending no matter if/what amount they sold.
Book Fair
Nan Shugart report that the September Book Fair was a record high.
Nan wanted to sincerely thank the 30+ volunteers who planned and
coordinated the Book Fair! The total sales were $6,610.18. Over
$1,000 in books was given to Glenwood's Reading Room. The voucher
money that the PTO received from Scholastics was used to purchase a
children's size couch, two chairs, a table and a "Welcome to our
Library" mat for the library from the Scholastics' catalog. A total
of $143 was donated to the "One For Books" program. Every classroom
received a specially chosen book and every student received a
medieval themed bookmark. Many of the Teacher's Wish List books were
purchased this year by the parents and students. This year instead of
taking all of the profit in books the committee decided to keep out
$1,524.56 in cash to be used at the Spring Book Fair. This amount can
be used to cover the cost of the $5.00 certificates given to each
student at that book fair. Nan and Pam Wyatt talked at the close of
the book fair and expressed some concerns they had during tonight's
meeting. There were children at the book fair who asked if they were
going to get their $5.00 certificate, and there were those who left
crying from their classroom visits because they were unable to
purchase a book. Pam suggested that maybe we consider giving the
$5.00 certificates at the fall book fair instead of the spring book
fair because at this time of the year many families have just spent
money getting ready for school, the holidays are coming up, and
financially they may not be able to send money with their children
for them to purchase a book. It was also mentioned that maybe we
could consider giving certificates at both book fairs provided the
funds were available. No decision was made but further discussion
will be held at another meeting.
New Business
Hat Day
Cheryl Guthrie was unable to attend tonight's meeting but asked
Cassie DeJarnette to bring to the table an idea for a fundraiser.
Cheryl had already spoken with Ms. Goins regarding this event and
received Ms. Goins' approval. Tentatively Friday, November 11th, will
be Hat Day at Glenwood. This will be a fundraiser in which the PTO
will not incur any expense. Each child will pay $1.00 to wear his/her
hat to school. This will be open to the staff as well. PTO moms will
be asked to work that morning at school to collect the money and
place a sticker on each child showing that he/she has paid to wear
their hat. Tables will be set up in the halls for the children to pay
at. Lynda Marcoux made a suggestion that the children be directed to
the cafeteria so that they could go to a central location to pay. Pam
Wyatt offered to help Lynda collect money in the cafeteria that
morning. Nan Shugart commented that there have been times in the past
when the children were to wear a certain item to school and for
whatever reason they forgot. This caused them to feel left out. Could
we have two (2) days to wear hats or even a Hat Week? She felt that
Ms. Goins would not want any child to be left out. After a discussion
it was decided that Nan would speak to Ms. Goins and ask about having
this event for more than one day. If approved, each child would be
required to pay $1.00 for each day they wished to participate.
Jessica Bivens made a motion that we proceed with this fundraiser and
have Nan Shugart speak with Ms. Goins regarding extending the number
of days. Lynda Marcoux seconded the motion, and the motion passed
unanimously.
Request from Hs Hooks
class:
No formal request was made to the PTO but Ms. Hooks had asked Nan
Shugart to announce that her classroom is in need of new/nearly new
toys. She has children in her class of different ages, and they stay
in her class for a while. Some of the toys she has are getting worn.
Nan spoke with Smart Toys, and they donated some nice wooden puzzles
to the class. Cassie DeJarnette will get a list of Ms. Hooks' needs
and e-mail it to other PTO members.
Ecumenical Storehouse:
Nan Shugart wanted to make us aware of Ecumenical Storehouse and it's
purpose. She visited the facility first hand and was amazed at the
wide variety of things they have. With displaced people from the
coast coming up after Hurricane Katrina the storehouse was used
tremendously. There have also been Glenwood families who have
benefited from this facility. If you have any items that you would
like to donate such as household items, bedding, etc., they would
greatly appreciate it. Nan will have more information regarding this
facility at next month's meeting.
Reminder - Thursday, October 20th, from 5 - 8 p.m. is Glenwood Night at Chick-Fil-A. You do not have to present anything when ordering in order for the proceeds to come to Glenwood.
This month's door prize was a $20 gift certificate to Big Ed's. Jessica Bivens was the winner! Congratulations!
