Minutes from Glenwood PTO Meeting
September 5, 2006
PTO President Cassie DeJarnette welcomed everyone and called the meeting to order at 6:35 p.m. Members in attendance were Cassie DeJarnette, Jessica Bivens, Lynda Marcoux, Pam Wyatt, Nan Shugart, Vickie Quick, Michael Johnson, Mary Yaun, Jeanie Phillips, Anna Childs, Robert Childs, Susan Wang, Roxana McNair, Jennifer Melton, Rebecca Fahey, Kim Brinkman, Linda Twohig, Sharon Dowdy and Pearl Goins.
Principals report
Mrs. Goins reported -
- The school year is off to a busy start, and the transportation issues and concerns are being worked through, and Mrs. Goins wanted to thank all the parents for their patience. Many parents' feels that the school board acted inappropriately but actually the changes were brought about by cuts made from the City Council. Mrs. Goins stated that she would be attending the budget meeting in the spring to voice concerns. She made note that the State does not support the current transportation policy. Woodland & Willowbrook actually have had it worse than we have here at Glenwood. The PTO at Willowbrook has information on their website and has even started selling bumper stickers regarding the transportation issue.
- DRA testing is done.
- TCAP scores are back and they reflect the hard work done last year
- For the 2nd year in a row Glenwood will receive a grant from the LEEPS program. Glenwood will be receiving $94,000, which will help provide the newest Apple laptops for the library as well as provide other programs at the school. This amount will also help cover the cost of two extra teachers.
Mrs. Goins also wanted to say "Thank You" to the Garden Club for their work as well as "Thank You" to the PTO moms who get the water coolers ready each morning!
Minutes
May minutes were available for review & discussion. Motion made by Lynda Marcoux that the minutes be accepted; second by Linda Twohig. Motion passed unanimously.
Treasurers Report
Lynda Marcoux reported -
- The PTO Board met on August 16, 2006, and put together a proposed budget to be voted on. This year all committee chairs were invited to attend to give input and ideas. The budget available tonight reflects the results of that meeting.
- Of note: It was voted at that meeting to put in the budget funds to provide each Glenwood student with a free book at both the Fall and Spring Book Fairs ($3300) and to cover the cost of the Zoo Assembly and decorations ($200).
- Cassie DeJarnette has made arrangements with the fall fundraiser company so that we can have the inflatable items from the MEGA Party back for the Spring Picnic for $500.
- Glenwood PTO is now tax-exempt! If any committee chair needs to obtain a tax-exempt form for purchases to be used by their committee, please see Lynda Marcoux. DO NOT ABUSE THIS FORM AS STORES (AND THE STATE) CAN REVOKE OUR TAX EXEMPT STATUS AT ANY TIME!
- All receipts are to be turned in to Lynda Marcoux so that you can be reimbursed!
Motion was made by Linda Twohig to accept the Treasurer's report; second by Nan Shugart. Motion passed unanimously.
Committee Reports
Teacher Appreciation
Mary Yaun reported -
- This year this committee will sponsor "Fabulous Friday" once a month at which time treats will be placed in the teacher's lounge from the PTO. There will be a different theme each month.
- Dates will vary each month.
- Several volunteers have signed up to help, and Mary will be calling to let each person know when they are needed.
- A signup sheet was available at the meeting for anyone who wanted to sign up for a particular month.
Bookfair
Lynda Marcoux report -
- Scholastic will deliver the books on Sept. 13th,
- Kick-off Zoo Assembly will be at 9 a.m. on the 14th
- Fri., Sept. 15th, 8:30 a.m. to 4:00 p.m. will be the "View & Chew" for teachers to preview the books and get their wish lists together as well as put their name in for $50 worth of free books. Volunteers will be needed!
- Classroom visits will be Sept. 18th - 21st. Volunteers will be needed:
- Thursday evening, September 21st, will be our Open House and a time for families to visit the Book Fair. Volunteers will be needed!
- Break down and financials will be done on Fri., September 22nd, starting at 8:30 a.m. Volunteers will be needed.
- $1100 in outstanding vouchers from Scholastic has already been spent for library items.
Fall Fundraiser
Cassie DeJarnette reported:
- Kick off for fundraiser was last Tuesday for the upcoming Cookie Dough Sales. So far things are going smoothly.
- Clarification on miscommunication regarding riding in the
Hummer and who attends the MEGA Party -
- Anyone who sells 35 items will ride in the Hummer. It was stated on the flyer that you were required to sell 60 to ride and that is incorrect.
- Every Glenwood student will have the opportunity to attend the MEGA Party. All students who sold 12+ items will be allowed to spend more time at the MEGA Party. (A letter will go home with the students on Sept. 8th explaining this).
- MEGA Party will consist of inflatables and snow cones. Volunteers will be needed!
PAWS Publication
Mary Yaun reported that the first newsletter for the school year
would come out in mid September for October/November. If you have
anything that you would like to have appear in the newsletter, please
contact Mary at yaunfamily@peoplepc.com or 483-2358. (Thank you,

New Business
Letter Approval:
Cassie DeJarnette wanted to remind everyone that Mrs. Goins' approval must be obtained on everything that is sent out by the PTO. If Mrs. Goins is not available, please see Missy McCallen. Spanish translations can be sent home for anything that has received approval. If you need to have something translated, please contact Ordalys Mountain at mountainclain.com. (Thank you, Ordalys, for doing these translations for us!)
Social Club:
Jessica Bivens voiced her feelings about the fact that parents can no longer meet in front of the school as they have done in the past and "visit" while waiting for their children. Jessica said that she personally looked forward to that time and now feels that parents are being "pushed away" and there is definitely an emptiness felt by many. She was wondering if there would be an interest in providing a time either weekly or monthly, in the morning or in the afternoon, where parents could come together and socialize. PTO meetings are wonderful, but they are to take care of business. She said that she is going to discuss this with Mrs. Goins. Nan Shugart suggested that Jessica approach Mrs. Goins with this concern.
Fish Tank:
Linda Twohig reported that the fish tank is in need of repairs. A new power head is needed as well as a new light fixture, and some more fish would be nice. Lynda Marcoux informed her that since it was voted on at the budget meeting to provide $200 for the year to offset any repairs, etc., needed for the fish tank, Linda can proceed with doing what she feels is necessary and can turn in her receipts to her (Lynda Marcoux).
Glenwood Chick-Fil-A Nights:
Linda Twohig reported that a schedule is in place for each school's night at Chik-Fil-A. Glenwood's nights are Oct. 12th, Dec. 7th, Jan. 11th and Mar. 1st. Linda stated that we need someone here at the school to be responsible for getting this message home to the parents i.e. notes, stickers for the children, etc.
Baby Titan:
Baby Titan is the grandson of Tina Porter who works in the cafeteria here at Glenwood. Lynda Marcoux explained his medical condition and the fact that he needs to go to Ohio to a hospital that has the special equipment he is in need of. His TennCare will not approve this trip or the services. Since the PTO cannot donate to individuals in need, Lynda asked for our help individually and information was available on how we can support this family.
Teacher Requests:
- Ms. Johnson made a request for a heavy-duty pencil sharpener ($50 - $60). Nan Shugart made a motion that we approve this request; second by Kim Brinkman. Motion passed unanimously.
- Ms. King made a request for 15 clipboards for her word wall work. The cost is $3 per clipboard or $45. Lynda Marcoux made a motion that we approve this request; second by Ordalys Mountain. Motion passed unanimously.
- Nan Shugart from the Family Resource Center made a request on the behalf of Ms. Hook. Ms. Hook has been using her own money for a long time to buy milk for her children at snack time.(Nan wanted to make sure that we all understood Ms. Hook has no idea that she was making this request). Lynda Marcoux made a motion that we give $100 for the year to help cover this item; second by Kim Brinkman. Motion passed unanimously.
- Of note: Ms. Hook's class can still use any new or "new" used toys appropriate for kindergarten age children.
Staff Request:
Nan Shugart made a request on behalf of the Family Resource Center for $100 to help families with children here at Glenwood and in the community at risk. This money would be used for necessary items i.e. helping to reinstate utilities, clothing, etc. Pam Wyatt made a motion that the request be approved; second by Kim Brinkman. Motion passed unanimously.
A copy of the PTO's bylaws was available for all who attended the meeting as well as a report from the Playground Committee giving the accomplishments for 2006 as well as the current needs for 2006 - 2007.
Congratulations to Mary Yaun! She was the winner of this month's door price, a $10.00 gift certificate to Mr. K's Books!
